Signing in β
There is no public sign-up. Every account in Shelf is either an Artefact staff member signing in with their work Google account, or someone who has been invited by name. This page covers both, plus what to do when you can't get in.
Artefact staff β Continue with Google β
Use the Continue with Google button and your Artefact work account. There's no password to remember and nothing to set up.
Two things follow from signing in this way:
- Access is granted per app, per person. Artefact runs several tools behind the same Google sign-in, and being an Artefact staff member doesn't automatically get you into all of them. If you've not been granted Shelf, the sign-in stops and tells you so β ask an admin to grant you the shelf app in the Artefact admin console (
admin.artgrp.au). It's a ten-second job for whoever holds that. - You can't set a Shelf password, and you don't need one. Google accounts are the identity; "Reset password" and the one-time-code option will both politely refuse and tell you to use Google. That's not a fault, it's the point β there's no second, weaker way into your account.
Invited guests β email and password β
Anyone else gets in because an Owner or Admin invited them by email address. A guest here means a client, a contractor, a partner venue β someone who needs their own login but isn't on the Artefact Google directory.
How an invite works β
- An Owner or Admin invites you from Settings β Team β Invite a user, choosing your role (see below). Owner can't be granted this way β transferring ownership is its own deliberate step.
- You get an email with a link. It's good for five days. After that it stops working and someone needs to send you a new one.
- Clicking the link accepts the invite and signs you straight in. You don't choose a password at this point β you're just in, on the workspace you were invited to.
- Next time you come back, you'll need a way to prove it's you. That's the next section.
An Owner or Admin can resend an invite that's gone astray or expired, and cancel one that's no longer wanted, from Settings β Team β Pending invites. Someone who's been invited but hasn't clicked yet shows up there rather than in the users list.
Getting a password (or skipping one) β
Because accepting an invite doesn't ask you to pick a password, there are two ways back in afterwards, and both start from the login page:
- Reset password β enter your email, follow the link that arrives, choose a password. Do this once and from then on it's an ordinary email and password login. Changing your password signs out every other device you were logged in on, which is what you want if you're resetting it because something felt off.
- One Time Password β enter your email and Shelf sends a six-digit code that's good for ten minutes. Type it in and you're through. No password to store anywhere, which suits someone who signs in twice a year.
Either works. If you're going to use Shelf weekly, set a password; if you're a client who checks in occasionally, the code is less to keep track of.
Roles: what each one sees β
Every person in the workspace has one role. It's set on the invite and can be changed later by an Owner or Admin from Settings β Team β Users.

The pattern to hold onto: Base and Self-service see the gear and the work, not the workspace's plumbing. Categories, tags, locations, reports, printers and team settings are all Owner/Admin territory, and they're hidden rather than shown-and-refused, so nobody's clicking into dead ends.
Crew who never sign in β
Not everyone needs a login. A non-registered member is a team-member record with no account at all β no email invite, no password, nothing to administer. They can hold custody of gear and be named as a booking's custodian, and that's usually the whole requirement for a casual or a freelancer who's on for one job.
Add them from Settings β Team β Non-registered members. You can promote one to a real invited user later if the relationship turns into something ongoing.
